Our Processes

Our Process: How We Work With You

At E-Tech Consultancy & Services Limited, we make accountancy, bookkeeping and HMRC compliance simple. This page explains what to expect, from your first conversation through to year-end and beyond. You get one team, one point of contact and one clear process, so you can run your business while we look after the numbers.

Step 1: Tell Us What You Need

Every business is different, so we start by listening. In a free, no-obligation conversation we ask about your business structure (sole trader, partnership, limited company or landlord), your turnover, your team, the software you use and any deadlines or HMRC letters on your desk.

From that conversation we recommend the services that fit, explain the cost in plain terms and agree a clear scope of work. There are no surprises and no unnecessary extras.

Step 2: Tell Us What You Need

Before we begin, we put everything in writing. You sign:

Engagement Letter

An engagement letter, setting out the services we provide, what we need from you, our fees and each party's responsibilities.

GDPR Agreement

A GDPR agreement, so your personal data, and that of your employees and customers, is handled lawfully and only for the agreed purpose.

Non-Disclosure Agreement

A non-disclosure agreement, so your business information stays confidential.

We do all of this before you share a single record. You know exactly where you stand from day one.

Step 3: Tell Us What You Need

We set up your account and give you access to our secure client dashboard. If you already use cloud accounting software, we can work directly in your existing file with your permission. You can send your records in whatever way suits you

Client Dashboard

Upload documents to the client dashboard

Bank and Software Connections

Connect your bank feed or accounting software

Preferred Channel

Send records through your preferred channel

Paper Records

Hand over paper records, which we can scan and digitise for you

It’s your choice. Whichever route you choose, everything is received and stored securely.

What you can send us

You don’t need to organise your records perfectly. We work with what you have. Depending on the service, you can send us:

Bank Statements

Bank statements as CSV, Excel or PDF files

Sales and Purchase Invoices

Sales and purchase invoices, whether bills from suppliers or invoices you've issued

Receipts and Expenses

Receipts and expense claims

Accounting Software Exports

Exports from your accounting software, such as sales ledgers, purchase ledgers and nominal ledgers in CSV format

Payroll Records

Payroll records, including employee details, hours worked and pension information

Finance Statements

Loan, lease, hire purchase and mortgage statements

Fixed Asset Details

Fixed asset details, such as vehicles, equipment and property purchases

Official Correspondence

Letters or notices from HMRC and Companies House

If something is missing, we make a list of what’s outstanding and send it to you, so nothing is left to guesswork.

Step 4: How We Handle and Protect Your Data

Your financial records are sensitive, and we treat them that way.

Secure Storage

Your files are held in access-controlled systems, and only the team members working on your account can see them.

Encryption

Data is encrypted when it is sent to us and when it is stored.

GDPR Compliance

We collect only what we need, use it only for the agreed services and keep it only as long as legally required.

Confidentiality

Every member of our team is bound by confidentiality obligations.

Clear Audit Trail

We keep a record of what was received, what was done and when, so you can always see where your work stands.

Your Rights

You can ask us what we hold about you, or request a copy of your records, at any time.

Step 5: We Get to Work on Your Files

Once your records are in, our team gets started. For every service we follow the same pattern: you send us your records, we prepare the workings, we check everything with you, and then we file. Here is how each service works.

Bookkeeping

What it is: Bookkeeping is the day-to-day recording of every transaction in your business. It is the foundation of your accounts, your VAT return and your tax return. If the books are right, everything else follows.

How we do it

  1. You send us your bank statements (usually as CSV files), together with your sales invoices, purchase bills and receipts.
  2. We import your bank data into the accounting system and code each transaction to the correct account, such as sales, cost of sales, rent, travel, insurance or professional fees.
  3. We match each bank line against its invoice or bill, so every payment and receipt is supported by a document.
  4. We reconcile your bank accounts, so the balance in your books agrees with the balance on your statement.
  5. We reconcile your debtors (what customers owe you) and creditors (what you owe suppliers).
  6. We query anything unclear with you, such as unidentified payments, missing invoices or unusual transactions, and agree how to record it.
  7. We send you a short summary of any questions and a report on your position.

What you get: Accurate, up-to-date books, a clear record of income and spending, and records that meet HMRC's requirements.

Payroll

What it is: Paying your team correctly, deducting the right tax and National Insurance, and reporting everything to HMRC on time.

How we do it

  1. You send us each pay period's details: new starters, leavers, hours, overtime, bonuses, expenses, holiday and sickness.
  2. We calculate gross pay and deduct PAYE income tax, employee National Insurance, student loan repayments and pension contributions, and we work out employer National Insurance.
  3. We prepare payslips for every employee and a payroll summary for you.
  4. We submit your Real Time Information (RTI) report to HMRC on or before payday.
  5. We tell you how much you owe HMRC and by when.
  6. We manage auto-enrolment, pension submissions and year-end filings, including P60s and employer reports.

What you get: Correct, on-time pay for your staff, compliance with HMRC and pension rules, and no payroll penalties.

VAT Returns

What it is: Calculating the VAT you've charged and the VAT you can reclaim, and submitting your return to HMRC under Making Tax Digital.

How we do it

  1. You send us your sales and purchase records for the VAT period, as CSV exports, invoices and bills.
  2. We check that every invoice shows the right VAT rate and treatment, whether standard, reduced, zero-rated, exempt or outside the scope.
  3. We prepare VAT workings showing your sales, purchases, output VAT and input VAT, reconciled to your books.
  4. We check for common errors, such as VAT claimed on non-reclaimable items, missing supplier VAT details and wrong treatment of overseas transactions.
  5. We send you the completed workings and VAT figure for approval.
  6. Once you approve, we submit the return to HMRC through Making Tax Digital-compatible software and confirm the payment date.

We also advise on VAT registration, deregistration and choosing the right scheme, such as flat rate, cash accounting or annual accounting.

What you get: Accurate returns, filed on time, with a clear audit trail behind every figure.

Statutory Accounts and Trial Balance

What it is: Your annual accounts, prepared to meet UK accounting standards and filed with Companies House and HMRC. They show your profit or loss for the year and what the company owns and owes at year-end.

How we do it

  1. We receive your records. You send your bank statements, sales and purchase ledgers (usually CSV files), bills, invoices, loan and asset details, and any other year-end information.
  2. We prepare the workings. For each area of the accounts we build supporting schedules and workings (see the list below).
  3. We prepare the trial balance. We bring every account balance together into one list, check that the debits equal the credits, and make year-end adjustments such as depreciation, accruals, prepayments and corrections. This gives a reliable picture of the company's position.
  4. We review and query. We go through the trial balance, look for unusual figures and ask you about anything that needs explaining before we continue.
  5. We prepare the statutory accounts. From the final trial balance we produce your profit and loss account, balance sheet and the notes required by law, in the correct format for your company size.
  6. You review and approve. We send you the draft accounts, explain the key figures and answer your questions. Directors sign off the accounts.
  7. We file. We submit the accounts to Companies House and the accounts and tax computations to HMRC, and send you copies of everything for your records.

Workings we prepare

  • Sales and income
  • Purchases and expenses
  • Fixed assets and depreciation
  • Debtors and creditors
  • Stock and work in progress
  • Prepayments and accruals
  • Loans, leases and hire purchase
  • Director's loan accounts
  • Payroll and pension costs
  • VAT and PAYE balances
  • Share capital and dividends

What you get: Compliant, professional accounts, supported by clear workings and a trial balance, filed on time.

Management Accounts

What it is: Regular reports, usually monthly or quarterly, that show how your business is actually performing, so you can make decisions during the year and not only at year-end.

How we do it

  1. We take your up-to-date bookkeeping records, or process the CSV files and bills you send us.
  2. We prepare a trial balance for the period and make adjustments for accruals, prepayments and depreciation.
  3. We produce a profit and loss account, a balance sheet and a cash flow summary.
  4. We compare results with previous periods and your budget, and highlight what's changed.
  5. We send you the report with a short explanation in plain English.

What you get: A clear view of profit, cash and costs, with commentary that helps you act on the numbers.

Corporation Tax

What it is: Calculating the tax your company owes on its profits, preparing the CT600 return and filing it with HMRC.

How we do it

  1. We start from the profit shown in your finalised accounts and trial balance.
  2. We prepare a tax computation, adding back items that aren't tax-deductible, such as entertainment, depreciation and some fines, and deducting items that are, such as capital allowances.
  3. We check for reliefs and allowances you may be entitled to, including the annual investment allowance, loss relief, and research and development relief where it applies.
  4. We calculate the corporation tax due and the payment deadline.
  5. We send you the computation for approval.
  6. We prepare and submit the CT600 return, with the accounts and computations, to HMRC.

What you get: An accurate corporation tax return, the correct tax payable, and no missed reliefs.

Self Assessment Tax Returns

What it is: Reporting your personal income to HMRC and paying the right amount of tax. It applies to company directors, sole traders, partners, landlords and anyone with income that isn't taxed at source.

How we do it

  1. You send us details of your income: self-employment figures, salary and dividends, rental income, interest, pension income and any capital gains. You also send us your P60 or P45, dividend vouchers and bank interest certificates.
  2. We prepare workings for each income source and claim the allowable expenses and reliefs you are entitled to.
  3. We calculate your tax and National Insurance, including payments on account.
  4. We send you the draft return and explain the figure and payment dates.
  5. Once you approve, we file the return with HMRC and send you a copy.

What you get: A correct return filed on time, and clarity on what you owe and when.

Capital Gains Tax

What it is: The tax on profit when you sell or dispose of assets such as property, shares or a business.

How we do it

  1. You send us the purchase and sale details, including dates, prices, costs of acquisition and sale, and improvement costs.
  2. We calculate the gain after allowable costs, exemptions and reliefs.
  3. We advise on how to reduce the gain legally and when reporting and payment are due.
  4. We prepare the HMRC report and include the gain in your Self Assessment or company return, as appropriate.

What you get: An accurate calculation, the right reliefs claimed and the correct reporting, within the deadline.

Property and Landlord Tax

What it is: Reporting rental income and expenses correctly, whether you own property personally or through a company.

How we do it

  1. You send us your rental statements, agent reports, mortgage interest certificates and repair and maintenance bills.
  2. We separate income from expenses, and revenue costs, such as repairs, from capital costs, such as improvements.
  3. We apply the correct treatment of mortgage interest, allowances and reliefs.
  4. We prepare the rental schedules and include them in your tax return or company accounts.
  5. We advise on structure, such as owning property personally or through a limited company.

What you get: Correct landlord tax reporting, with every allowable cost claimed.

Construction Industry Scheme (CIS)

What it is: The tax deduction system for contractors and subcontractors in the construction industry.

How we do it

  1. You send us your subcontractor payments and invoices, or your CIS deduction statements.
  2. We verify subcontractors with HMRC, calculate the deductions and prepare your monthly CIS return.
  3. We submit the return and prepare statements for your subcontractors.
  4. For subcontractors, we reconcile deductions suffered and claim any refund due through your tax return or company return.

What you get: Compliant CIS returns and the right refunds, without penalties.

Company Secretarial and Companies House Filings

What it is: Keeping your company's legal records up to date and meeting your filing duties.

How we do it

  1. We prepare and file your annual confirmation statement.
  2. We update Companies House for changes such as new directors, resignations, address changes and share allotments.
  3. We keep your statutory registers and records up to date.
  4. We remind you before each deadline.

What you get: A company that is legally up to date, with no filing penalties.

Company Formation

What it is: Setting up a new limited company correctly from the start.

How we do it

  1. We discuss your plans and recommend the right structure.
  2. You send us the details we need, including directors, shareholders, registered address and business activity.
  3. We register the company with Companies House and set up the share structure.
  4. We register the company for corporation tax, and for VAT and PAYE where needed.
  5. We explain your first-year responsibilities and deadlines.

What you get: A properly set-up company, registered with the right authorities, and ready to trade.

Step 6: Never Miss a Deadline

1. Deadline Calendar and Reminders

Late filing means penalties, and we want you to avoid them. We keep a deadline calendar for your business and send you reminders ahead of every key HMRC and Companies House date, including VAT returns, payroll submissions, Self Assessment, corporation tax and annual accounts.

2. Clear Requirements and Timelines

We tell you what we need from you and by when, so there is no last-minute rush. With clear instructions and timely reminders, you have time to gather your records, provide any missing information and resolve questions before the deadline.

Step 7: Review, Sign Off and Submit

1. Review and Approve

Before anything is filed, we send it to you for review. We explain the figures, answer your questions and ask for your approval.

2. Submit and Confirm

Only then do we submit to HMRC or Companies House. You stay in control, and nothing is filed without your say-so. We confirm each submission and keep a copy for your records.
